From the onset of my experience with this facility, it was one bad experience after another. I will review my experience at the Royal Oak location separately.
Specifically for this office, I called to try and make an appointment over the phone, and I was told that I needed to have a prior authorization from my insurance company to make the appointment. After getting the authorization, I called back to make the appointment and was hung up on three times. I was also given an estimate for the MRI with and without contrast (without insurance) for $560 via email. At the time the appointment was scheduled, I gave the lady on the phone my insurance information, Blue Cross. The Friday before the appointment, I was called by someone else from Basha who told me that they “spoke with my insurance company” and they said that the $560 will be paid towards my deductible. When I said that I spoke to the insurance company, they said I would only pay a $50 copay since the rest was covered under my policy. The lady told me it wasn’t her problem and to contact my insurance company again. The day before the appointment, I got a phone call to confirm my appointment, and a different lady told me to bring my insurance card and ID. I asked if I needed to bring any paperwork, and I was told no. The day of my appointment, I was checked in by the receptionist 15 minutes late and then she said because I didn’t have the order from the physician, that my appointment was now canceled. I asked if we could reschedule it then and she got extremely rude.
Despite my understandable frustration about the miscommunication, the receptionist should be reprimanded for unprofessional behavior and be given required training courses in the following areas:
1. Conflict resolution
By acting like I was inconveniencing her by asking my questions and flat-out blaming me for the entire situation, she just escalated it. The other woman behind the counter tried to resolve the issue, but the receptionist did not. The one answering the phones failed at effectively trying to resolve the issue, even if the result would still be me needing to be turned away. This shows a fundamental lack of ability in conflict resolution strategies or a complete indifference to being in her position.
2. Customer service
The other issues notwithstanding, her negative tone of voice and comments about previous negative interactions she has had (which she made with the patient she took before me) illustrate that she does not meet any measure of good customer service and is not a representative that Basha should be proud to have as the face of their company. This is further illustrated by the countless mentions of her from former patients in their reviews of the Dearborn facility, which are available on Yelp or Google reviews.
3. Nonverbal communication
Having her undergo training on how her negative body language such as slouching and waving of hands when dealing with patients and how those things can influence the way a conversation plays out would help her and the facility experience more positive interactions with patients.
4. HIPAA compliance issues are also a problem at this office. The receptionist should not be asking patients for private information about their medical conditions, weight, and height within earshot of other customers. These are on the paperwork for a reason. The patient should be filling those out confidentially.
I am deeply troubled by the service provided by the Dearborn facility. To be fair, if I was supposed to bring a document like the physician order form, I can understand why they couldn’t take me since I didn't have it. The issue is that this situation could have been avoided by following the steps below:
1. The confirmation call specifies that the order is brought by the patient.
2. A list of all required paperwork should be listed on the website. I checked this multiple times before my appointment to make sure that I was prepared for this appointment, and it wasn't listed on there.
